Save the essential details before departure
Keep the date, operator contact, passenger count, pickup address and destination in a short document or saved message. Include the exact property name and an entrance description, with a map pin or screenshot that remains understandable without opening several links.
Retain relevant booking references and the accepted return time. Store only what you need for the journey; avoid circulating passports or unrelated personal documents in a group chat. The booking checklist helps identify the useful transport information. Make sure a second responsible adult can reach it if the coordinator’s phone becomes unavailable.
Agree one recognisable meeting point
Choose a specific reception, entrance or other confirmed landmark rather than a broad resort name. Ask the driver whether that is the correct vehicle collection location and share the answer with the group. A place that is easy to describe on foot may not be suitable for vehicle access.
If skiers and non-skiers separate, agree a daytime regrouping point as well as the final pickup. The mixed-activity group guide explains the coordination involved. Keep children with their assigned adult; the offline plan supports communication but does not replace supervision or the activity provider’s handover instructions.
Make the fallback instruction explicit
Discuss what happens if someone cannot send or receive the expected message. A predefined meeting window and location can be clearer than an instruction to “call when finished.” Ask the transport operator to acknowledge the arrangement, particularly when collection is separate from the outward drop-off.
Your fallback note can state:
- Primary collection location and agreed time window.
- Main contact and a second adult’s reachable number.
- How a changed location must be acknowledged.
- Which instruction remains valid if no update is received.
Avoid leaving different members of the party with different versions of the final plan.
Review the plan after any change
A hotel move, changed activity finish or different flight can make an old screenshot misleading. Replace saved details when the operator accepts a revision, and clearly identify the latest version to the group. Keep the hotel entrance checklist handy if the collection address changes.
Charge devices before the trip and carry the ordinary charging equipment appropriate to your own phone. Ask about connectivity at any property where you specifically need it rather than assuming it is uniform across the region. A clear saved meeting instruction gives everyone a practical way to follow the same transport plan, even when live messaging is temporarily inconvenient.
